Why is personal data processed?
Linköping University is a government agency. When contacting us, we will in many cases need to process your personal data in order to be able to help you. We process your personal data in order to fulfil our assignments, which include conducting education, conducting research, collaborating with the surrounding society and informing about our activities. The most common reasons why we process your personal data are that you are a student, researcher, participant in a research study, employee, partner, participant in seminars, conferences or similar. We may also process your personal data if you have been in contact with us for other reasons. In addition to these purposes, we also process personal data in order to comply with the legislation that applies to us, for statistical purposes and to review and develop our business.
Linköping University uses social media such as Facebook and Twitter. In these accounts, Linköping University is primarily responsible for any personal data that we publish ourselves. For personal data that others provide, we are only responsible to the extent that we can influence the content. We work to remove inappropriate content.
When you use IT resources from Linköping University, traces of your activities can be saved to be used in the University's IT security work.
How does Linköping University receive your personal data?
Linköping University collects personal data that you submit to us for the reasons mentioned above. In some cases, we may also collect personal data from other sources, such as the Swedish Tax Agency or other higher education institutions.
Disclosure of personal data
Much of the information available at Linköping University is public documents. If your personal data is contained in an official document, the document may be disclosed in accordance with the Public Access to Information and Secrecy Act. Your personal data may also be disclosed if it is necessary for us to be able to fulfil an agreement with you, for us to comply with a legal obligation, to perform a task in the public interest or a task in connection with the exercise of official authority where the processing of the data is necessary.
How long does the personal data remain?
We store your data for as long as it is necessary for the purpose for which it was collected. Linköping University may store your data for longer if this is necessary to comply with legal requirements or to safeguard the University's legal interests. If you are a student, your personal data is saved from the time you are admitted to a programme or course. Your personal data is used for course administration, examination, documentation of study results and to provide you with support in your study situation, and it is deleted when you are no longer a student with us. Certain data, such as study results, are stored for a longer period of time in order to comply with Swedish legislation (the Archives Act, the Higher Education Act). If you participate in a research study, your data will be stored for as long as necessary to ensure the quality of the research. If you are an employee, your data will be stored for as long as it is necessary to administer the employment relationship and for as long as we are obliged to save them by law.
Transfer to third countries
In certain situations, Linköping University will transfer personal data to countries outside the EU/EEA, e.g. in connection with international research projects, student exchanges or in other situations where such a transfer is necessary. In these cases, you will be informed that a transfer to a third country takes place in connection with providing your data to us.
Your personal data is mainly processed within the EU/EEA and all our own IT systems are located within the EU/EEA. However, in the case of system support and maintenance, we may be required to transfer the information to a country outside the EU/EEA, e.g. if we share your personal data with a data processor who, either itself or through a subcontractor, is established or stores information in a country outside the EU/EEA. In such cases, the counsel may only take part of the information that is relevant for the purpose.
Linköping University takes measures to protect all personal data that is transferred to such third parties, or that is transferred to a country outside the EU/EEA, in accordance with applicable personal data legislation. We will ensure that there is an adequate level of protection for your data in cases where the transfer takes place to a country outside the EU/EEA.
What rights do you have as a data subject?
You have the right to receive information about what personal data about you is processed by Linköping University. You can request this in writing by contacting the Registrar at Linköping University, either by e-mail or by letter. If you believe that information about you is incorrect or misleading, you can request that the information be corrected.
You also have the right to be informed about the legal bases on which we rely, how long we will store your data and who has access to the information. You can have your data with us deleted if there are no legal reasons that require us to save the data. You also have the right to request that the use of some of your personal data be restricted, withdraw your consent and appeal to the relevant supervisory authority.
